Exhibition opening times for delegates

Tuesday 1st June from 08:45 – 18:30
Wednesday 2nd June from 08:30 -18:30
Thursday 3rd June from 09:00 - 16:00

Set up and breakdown times for exhibitors

Exhibition set up time: Monday 31st May between 14:00-18:00.
 
Please note: that stand building may not be complete by 14:00 but you will have access to the Aula Congress Centre

Exhibition breakdown time: Thursday 3rd June between 16:00-19:00.
 
All exhibition goods must be removed on Thursday 3rd June as storage is limited.

If you are intending to bring demonstration machinery to the conference, please note the instructions in the fire and safety section of the exhibitor guidance.

Exhibitor representatives

Exhibitors are required to provide the name and contact details of their representatives to attend at the meeting through the online registration system. Further options, such as conference dinner tickets may also be ordered online through this system.

Exhibitor client passes

Exhibiting companies can also benefit from the provision of complimentary "Client Passes". These daily passes will enable your customers to visit your stand and tour the exhibition. To request a pass please see the "Client Pass" application form.

Commercial session

The commercial session takes place on Tuesday 1st June from 14:30 - 16:15 in the plenary. To reserve a presentation slot in this session please contact Debbie Nyman: debbie-nyman@euspen.eu.

Delivery

Deliveries should be made to arrive on Monday 31st May as very limited storage is available at the Aula Congress Centre. Please contact Debbie Nyman: debbie-nyman@euspen.eu if you need to deliver on Friday.
 
Delivery or removal of equipment must be made before or after exhibition hours and a contact person of the exhibiting company should be present to accept the material. The staff of the Aula Congress Centre are not allowed to accept exhibition material.

Note that neither the Aula Congress Centre nor the Organisers can be held responsible for the delivered exhibition material.
 
Deliveries must be properly sealed with the following information clearly visible:
• Name of the meeting
• Exhibitors name
• Number of the stand
• Number of parcels being delivered 

Directions to the exhibition/unloading area

The unloading area for the Aula Congress Centre is directly outside the main entrance of the building as there are no designated parking spaces.

The Aula Congress Centre is not suitable for the use of forklifts

Please note: at approximately 90 cm high on the right side of the elevator is a bar protruding 9cm from the elevator wall

Parking

Once unloaded, lorries cannot be parked at the Aula Congress Centre. Parking for cars is limited at the Aula Congress Centre see Campus map for parking information >>>>.

Stand information

The fixing of posters to the stand walls is only allowed using materials that will not cause damage to the walls.

Please note that one electrical socket with 3 power points is supplied in specified stands.

Security during the conference

Please note that the Aula Congress Centre is open to the public from 08:00 - 19:30 daily.  Outside of the opening hours the only people allowed to enter the exhibition area are Aula employees. Neither euspen or the Aula Congress Centre can take any responsibility for loss of items. It is strongly recommended that valuable objects are removed from the exhibition area overnight, and that appropriate insurance is obtained.

General exhibitor information

1. It is forbidden to erect stands or install ornaments made with construction material such as cement, sand, plaster, roof tiles, bricks or any other kind of similar material.

2. Under no circumstances will it be authorised to use or transport petrol, acetylene, kerosene or any other inflammable material inside the Aula Conference Centre. The use of individual heaters is also forbidden.

3. All exhibitors will only use electricity connection points provided to their stand.

4. It is forbidden to hang posters, banners, transfers, stickers, etc. on the walls, floors, ceilings or pillars of the Aula Conference Centre without prior authorisation. Under no circumstances can materials be introduced which block or hinder exit from halls.

5 Each exhibitor is obliged to keep their stand and common areas clean. At the end of the exhibition all material must be removed and waste must be disposed of in the bins provided.

Fire and safety

Written permission of the Congress Office is required for use of the following in the building:
●    equipment for demonstration purposes, cooking, frying or baking with gas or electricity
●    compressed or liquid gasses
●    flammable liquids
 
If you are intending to use demonstration machinery please contact: Ms Els Bakker-van Benthem at the Aula Congress Office by email: E.Bakker@tudelft.nl with details of machine sizes / weight / electricity requirements / fuel requirements (if any)  / water usage / noise or waste disturbance.

Cleaning

The Organisers are responsible for cleaning public areas within the exhibition hall on a daily basis. Exhibitors are responsible for cleaning their own stands.

Storage

Packing cases must be removed from the exhibition area and can be stored in a designated area in the Congress Centre.

All packing material which is to be retained (e.g. for re-use) should be cleared from the building by the end of the exhibition. After this time any materials left in the building will be destroyed.

Insurance

The exhibitor takes part in the exhibition entirely at his/her own risk. The management of the Aula Congress Centre, the local authorities and the suppliers accept no liability for any loss or damage sustained or occasioned from any cause whatsoever.

All exhibitors are advised to take out insurance against third party risks.

The exhibitor shall be responsible for the security of his/her stand and exhibits and it is recommended to pay close attention to the exhibits during the stand construction and dismantling periods. Valuable objects, which may easily be removed, should be locked away when the stand is not manned. The Aula Congress Centre accept no responsibility for goods stolen from exhibits.

Liability

The exhibitor acknowledges that he/she has no right to lodge damage claims against the organisers should the proceedings of the symposium and/or associated exhibition be hindered or prevented by unforeseen political or economical events or by force majeure.

Smoking

Smoking is not allowed in the Aula Congress Centre.
